EDIA Terms of Reference

Mission:
As the Equity, Diversity, Inclusion, and Accessibility Committee for the Faculty of Architecture and Planning, we affirm the Faculty’s commitment to recognizing and addressing racism, sexism, xenophobia, ableism and other forms of oppression within academia, as well as in the fields of architecture and planning. Further, the Faculty recognizes historic normalization of oppressive politics, segregation, and community disempowerment, which continues within our disciplines today. As such, the Committee serves as an advisory body, supporting the Faculty in advancing equity, diversity, inclusion and accessibility accross all their activities, including curriculum, research, student recruitment, and administrative practices. Our aim is to serve students, faculty and staff of the Faculty of Architecture and Planning by advocating for a culture of inclusivity, equity and diversity.
Reporting and Accountability:
As a standing committee in the faculty council, the EDIA Committee reports to the Faculty at each faculty council meeting. The committee also serves as an advisory body to both the Dean and students, and staff and faculty who are advocating for themselves and others relative to issues of social justice. In the event that the Faculty lacks a precedent for advising on an equity, diversity, inclusion and accessibility issue brought to the committee, it acts independently by drawing upon inter and intra institutional resources to determine a path forward.
Membership:
This committee must include:
- The Dean of the Faculty of Architecture and Planning (or a designate representative).
- At least one faculty member from each School.
- At least two student representatives from each School, elected by DASA or SUP/GPS.
- At least one staff member from the Faculty of Architecture and Planning.
Alumni, students, and community members are encouraged to participate. The membership of this committee is established with diversity as a priority.
Structure:
- The committee elects a chair (or co-chairs) and a secretary from within, serving staggered two-year terms.
- Student representatives from both faculties sits on the committee staggered two-year terms.
- The committee collaborates with the School Councils, faculty representatives, DASA, SUP, and GPS to implement planned activities.
- The committee may designate working groups or event steering committees as needed.
- Each committee member must participate in at least one subcommittee.
Functions:
1. Advocate for EDIA in administrative practices, including:
a. Increasing targeted recruitment of faculty, staff and students within equity deserving groups, including equitable representation across tenure-track faculty and contract positions.
b. Monitoring progress on EDIA practices by conducting studies on administrative practices, including but not limited to recruitment; admissions by demographic; faculty, staff, and student experiences and perspectives on the climate of EDIA while following strict research ethics standards. Results are to be reported to the Faculty Council.
c. Securing financial support and mentorship for students from underrepresented communities.
d. Maintaining relationships with other supportive entities on campus (e.g. Office for Equity and Inclusion, Student Accessibility Centre).
e. Providing opportunities for faculty and staff to be trained in how to advance EDIA in their work and interactions with students.
2. Promote EDIA in pedagogy by:
a. Developing an archive and inventory of resources (such as references, casestudies, and best practices) on various EDIA topics for course materials in both Schools.
b. Supporting existing curriculum-development efforts in the Faculty by providing the resources, means and methods to enhance EDIA in courses and extracurricular activities.
c. Supporting course syllabus development to reflect the student performance criteria established in the conditions for accreditation by CACB and PSB.
d. Coordinating educational campus events that promote EDIA.
3. Promote EDIA processes and resources for students, staff and faculty by:
a. Keeping a list of university resources (such as offices, contacts and procedures) to support students, staff or faculty who have EDIA concerns or questions.
b. Working with the Faculty and the University to promote access to these resources.
c. Identifying gaps in EDIA processes or resources and making recommendations to the Faculty and University to mitigate these issues.
4. Strengthen relationships with local communities by:
a. Co-hosting events and learning opportunities with local groups with justice centered missions for equity deserving groups.
b. Seeking input and collaboration with racialized, social justice, and equityfocused groups on and off campus.
c. Supporting outreach efforts in recruiting students, staff, instructor and faculty from equity deserving groups to enhance diversity within the Faculty.
d. Encouraging the creation of equity focused student groups and supporting their activities.
EDIA Committee and Âé¶¹´«Ã½â€™s Strategic Plan
The formation of EDIA Committees across the Institution is embedded in Âé¶¹´«Ã½â€™s 2021-2026 Strategic Plan, as a priority of its Inclusive Excellence Pillar. The University is also a signatory of the Scarborough Charter, a landmark national agreement focused on addressing anti-Black racism and promoting Black inclusion in higher education.
The University also established the Âé¶¹´«Ã½ Indigenous Strategy in March 2017. Its vision is that Âé¶¹´«Ã½â€™s partnerships and relationships with Indigenous communities in Mi’kma’ki will be recognized as models of respectful, impactful engagement, built upon the principles of etuaptmumk (two-eyed seeing), impacting all aspects of teaching, research and service.
Structure and Meetings
All members of the EDIA Committee are expected to join at least one subcommittee. Events and initiatives are carried out by the subcommittees, and report back to the larger Committee. The Chair facilitates the EDIA Committee and liaises directly with the Dean. The Chair is not expected to facilitate the subcommittees, but is invited to attend all meetings and will provide input as needed.
EDIA Committee meetings take place monthly, on the third Wednesday of every month, except during the summer. Subcommittee meetings take place ad hoc and as needed. The Committee meetings are organised by the Chair and the Secretary. Subcommittee meetings are organised by their respective subcommittee chairs.
Subcommittees
- The Events Subcommittee: The Events Subcommittee is responsible for organizing and executing events that promote EDIA and further knowledge in the Faculty. As some of the events are public, alumni and the general public are invited to them. The events are offered at no cost to reduce barriers to access. Funding may come from the FoAP or from other sources, depending on the event. This Subcommittee is also responsible for organising the Winters Lecture and the Lunch and Learn series. The Winters Lecture is funded by the Robert H. Winter Endowment. This is the only event organised by the Committee that has a regular source of funding.
- The Outreach Subcommittee:Â The Outreach Subcommittee is responsible for surveying student experience, facilitating communication among students, faculty, staff and liaising with the Equity Office. The purpose of this Subcommittee is to promote stronger relationships with local communities to work together to address EDIA concerns at the university as well as at the wider society level. That includes recruitment efforts, promotion, financial resources and surveys.
- The Curriculum Subcommittee: The Curriculum Subcommittee is responsible for the creation and maintenance of a Resources Library (including references, case-studies, and best practices) on various EDIA topics for course and extracurricular activities in both Schools. The subcommittee supports course syllabus development to reflect the student performance criteria established in the conditions for accreditation by CACB and PSB.
